By using our Platform at automatikpro.com or the AutomatikPro application, you agree to the practices described in this Policy.
1. Information We Collect
Information You Provide Directly
- Account Information: Name, email address, business name, business type, phone number, and password when you register
- Business Information: Industry type, number of locations, business address, website URL, and information about your customers and contacts that you upload or that enters your CRM workspace through our integrations
- Billing Information: Payment method details (credit card, billing address) collected and processed by Stripe. AutomatikPro does not store full card numbers — Stripe tokenizes payment data on our behalf
- Communications: Messages you send to our support team, demo request submissions, or form responses you provide through the Platform
- Campaign Content: SMS messages, email templates, and automation workflows you create within the Platform
Information Collected Automatically
- Usage Data: Pages visited, features used, time spent on the Platform, button clicks, error logs, and session replay data to help us understand how the Platform is used and improve it
- Device & Technical Information: IP address, browser type, operating system, device identifiers, and referring URLs
- Chat Widget Visitor Data: If you install the AutomatikPro AI chat widget on your website, we collect visitor session data including IP address, pages viewed, chat messages submitted, and contact information provided by visitors. This data is stored in your CRM workspace and governed by your own privacy policy as it relates to your website visitors
Information from Third Parties
- Contact records synced from Clover POS, GoHighLevel workflows, or other integrated platforms you authorize
- Ad performance data from connected Facebook, Google Ads, and TikTok accounts
- Google Business Profile review data from connected locations
2. How We Use Your Information
We use the information we collect to:
- Provide the Service: Operate your CRM workspace, deliver SMS/email automations, power the AI chat widget, generate reports, and execute all Platform features you configure
- Improve the Platform: Analyze usage patterns, fix bugs, test new features, and enhance performance and reliability
- Communicate with You: Send onboarding assistance, product updates, billing notices, and respond to your support requests. We may send promotional emails about new features or plans — you can opt out at any time
- Billing and Payments: Process subscription payments, handle failed payment retries, and manage refund requests
- Security and Fraud Prevention: Detect and prevent unauthorized access, abuse, spam, and other harmful activity
- Legal Compliance: Respond to legal requests, enforce our Terms of Service, and comply with applicable laws and regulations
- AI Features: Power AI-generated content suggestions, review responses, and chat widget conversations — anonymized usage data may be used to improve model quality
We do not use your data to train third-party foundational AI models without your explicit consent.

We do not sell, rent, or trade your personal information or your customers' data to any third party for their own marketing purposes.
We may disclose information if required by law, court order, or government authority, or to protect the rights, property, or safety of AutomatikPro, our users, or the public.
4. Data Retention
We retain your account data for as long as your account is active. After account cancellation or termination:
- Your data is retained for 30 days to allow for reactivation or data export
- After 30 days, your data is permanently deleted from our active systems
- Some data may be retained in encrypted backup archives for up to 90 days before permanent deletion
- Billing and transaction records are retained for 7 years as required by U.S. tax and accounting regulations

5. Your Rights & Choices
You have the following rights regarding your personal information:
- Access: Request a copy of the personal information we hold about you
- Correction: Request correction of inaccurate or incomplete personal information
- Deletion: Request deletion of your personal information, subject to our legal retention obligations
- Data Portability: Request your data in a structured, machine-readable format
- Opt-Out of Marketing: Unsubscribe from marketing emails at any time using the unsubscribe link in any email, or by contacting us directly

6. Cookies & Tracking
AutomatikPro uses the following types of cookies and local storage:
- Session Cookies: Required for authentication — keep you logged in during your session
- Preference Cookies: Remember your settings and preferences within the Platform
- Analytics: We may use privacy-respecting analytics tools to understand Platform usage patterns. These do not identify you personally
We do not use third-party advertising cookies or tracking pixels on the AutomatikPro application itself. We do not build advertising profiles based on your browsing behavior for sale to advertisers.
The AutomatikPro marketing website (automatikpro.com) does not use retargeting pixels for ad delivery to visitors.
7. California Residents — CCPA Rights
If you are a California resident, the California Consumer Privacy Act (CCPA) grants you the following additional rights:
- Right to Know: Request details about the categories and specific pieces of personal information we have collected about you in the past 12 months, the sources of collection, our business purpose for collecting it, and the categories of third parties we share it with
- Right to Delete: Request deletion of personal information we have collected from you, subject to certain exceptions
- Right to Opt-Out of Sale: AutomatikPro does not sell personal information as defined under the CCPA. There is nothing to opt out of

8. European Users — GDPR
If you are located in the European Economic Area (EEA), United Kingdom, or Switzerland, the General Data Protection Regulation (GDPR) or equivalent laws apply to your data. Our lawful basis for processing your personal data is:
- Contract Performance: Processing necessary to provide the Service you have signed up for

AutomatikPro is a business-to-business platform. Our Service is not directed to or intended for use by individuals under the age of 18. We do not knowingly collect personal information from anyone under 18. We implement industry-standard security measures to protect your information, including:

No system is completely secure. While we work hard to protect your data, we cannot guarantee absolute security. In the event of a data breach that affects your personal information, we will notify you as required by applicable law.
11. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email and/or by posting a prominent notice on the Platform at least 14 days before the changes take effect. The "Last Updated" date at the top of this Policy will reflect the most recent revision. Your continued use of the Platform after changes take effect constitutes acceptance of the updated Policy.
